Job Description:
Summary:
As a fundamental part of the URP Management team, the office
manager performs administrative, accounting and office support
activities. Duties to include: purchasing (creating PO's, ordering
parts/supplies, receiving parts, coding invoices, reconciling
p-card purchasing), payroll (entering data, validating timesheets,
correcting errors, and working with employees, foreman and payroll
department), contractor / service management (scheduling,
payments). Production and inventory reporting to various agencies
and corporate office. The Office Manager also provides the URP
management team with local HR support for employees on payroll,
vacation and other requests. Extensive software skills, Internet
research abilities and strong communication skills are
required.
Responsibilities:
Prepare reports, presentations, letters, memos, analysis, etc. as
directed
Manages office supply inventories
Manage payroll and equipment hours process and work with foreman
and equipment department to ensure equipment usage hours are
captured.
Orders parts and supplies for operations as directed by foreman and
managers
Code and receive invoices
Schedules services (trash, portolets etc) and contractors
(plumbers, landscapers) as requested by managers
Manages Uniform Program for employees
Provides training to foreman on payroll and equipment input
Manage purchase order process
Reconciles p card expenses
Manages tool and boot allowance reimbursement programs
Provides HR related services such as attendance tracking, vacation
requests, sick days etc
Assists management team with onsite meetings and training
Act as liaison for business travel, hotel and off-site meetings
arrangements as required
Oversee company copier equipment including maintenance, location
moves and payments
Learn drone operations and assist with monthly inventories as
needed
Qualifications/Skills:
5 years of office administration/office management experience
Excellent written and verbal communication skills
Proficient in Word, Excel, and PowerPoint
Good organization abilities
Ability to multitask
Strong Customer Service skills required
Strong computer skills with preference given to employees with JWS
knowledge preferred
Willingness to learn and use web-based systems such as MobileSales
for quoting
Must have a valid driver's license and be able to drive company
vehicle
Understands MSHA and CALOSHA regulations
Must have a strong, team-oriented work ethic with strong focus on
safety and environmental compliance
Ability to understand and follow Company Handbook and Safety
Policies
Ability to work well and communicate with others
Must be able to follow oral and written plans and directions
